Invoicing, getting paid and chasing debt
Invoice Process
The methods of payment we accept in classes is by our online booking system or BACS, PayPal/Stripe or cash. Kalma LTD accepts BACS or cash.
Sessions are usually paid termly in advance, although you may allow parents to pay by session if you wish.
Chasing Debt
If payment is overdue politely email reminding them that payment is due. In some instances parents genuinely forget. As it is block bookings you find this irons this out and only when taking cash do you have the chasing people for payment problem.
People pre book their spaces due to classes being popular. If customers don’t pay by the date you give offer the space again to another. Inform the customer you are doing this.
Refunds
It is always better to offer an alternative class if the refund is required due to sickness. If a customer insists then you should offer a refund if you feel this is necessary to protect your reputation. A sibling/twin discount is given if attending of one full price one half price. Regretfully once Kalma classes are booked no refunds can be issued due to missed sessions for any reason or due to not being able to no longer make a term. No refunds can be issued for holidays or sickness. No sessions can be rolled over. This is our refund policy.
Payment Disputes
PayPal and bacs can often have items missing in the system so always check and politely email customer asking for the reference to try match up the payment.
Cash can often be forgotten in classes, lots of parents do not carry this with them. Ensure you mark down on a register how much and the date any monies are paid, this can help with any disputes.
